Honours and Awards Policy

GENERAL

  1. The CBTF First Vice-President shall be responsible to coordinate the nomination procedures, voting procedures and presentation of the CBTF Recognition Honours and Awards (Exception:  Lynda Garland shall coordinate all aspects of the Lynda Garland Award for Excellence).
  2. All recipients must be CBTF Members in Good Standing.
  3. All presentations shall take place during the Annual Canadian Winner/Championship competition (Exception: those given to World and International Cup participants – see below).
    Biographies of the nominees for the awards listed in #5 below are required with the nomination forms. The recipient’s biography shall then be printed in the Canadians Program (Exceptions: Lynda Garland Award and those where the nominator requests that the award remain a surprise until announcement).
  4. A short summary of the recipient’s biography shall be required for introduction and presentation ceremonies at Canadians.
  5. The following awards shall be presented when nominations are received in a given year (Note: the Honours and Awards Committee and Lynda Garland are under no obligation to select a recipient for any of these awards):
    • Volunteer of the Year
    • Honourary Membership
    • Lifetime Achievement
    • Sharon Holliday Memorial Award for Sportsmanship
    • Lynda Garland Award for Excellence
  6. The following award shall be presented when applications are received in a given year (Note: the Honours and Awards Committee is under no obligation to select a recipient for this scholarship):
    • CBTF Athletic Scholarship
  7. The following awards shall be presented every year:
    • Athletes of the Year
    • Individual Challenge Cup
    • Group Challenge Cup
    • Ron Kopas Award (High Point Level A Men’s Solo)
    • Province of the Year

OTHER

  • Earliest possible date – When results are tallied, biographies and winners’ names shall be submitted to the host province Canadians’ Program Coordinator for inclusion in the program.
  • 2-4 weeks before Canadians – the First Vice President shall contact all winners to advise them of their award and invite them to attend the awards ceremony (exception: recipient of Lynda Garland award and when a nominator requests that the award remain a surprise until announcement).
  • Lynda Garland shall determine the deadline for submissions for her award.

 

HONOURS AND AWARDS COMMITTEE

The Committee shall be composed of members of the Executive first and, should an Executive member be nominated, other members of the Board who are not nominated, shall be invited to fill the spots. The Committee shall total five (5) voting members (2nd Vice President, Past President, Technical Chair, Treasurer & Secretary). The First Vice-President (chair) shall conduct the proceedings but shall not vote however she/he shall submit a written vote which shall only be used to break a tie. The President shall be an ex-officio member with no vote.

The Committee is under no obligation to select a recipient for any particular award in a given year.

The Committee shall be disbanded once the awards are announced during the Canadian Winner/Championship Competition.

 

CRITERIA, SELECTION PROCESSES & AWARDS

VOLUNTEER OF THE YEAR

Criteria

  • Nominations shall be accepted from any current CBTF member.
  • A nominee for this award shall be an individual demonstrating a strong commitment to the sport of baton twirling. The nominee shall be a CBTF member who has made a valuable contribution to the development of the sport of baton in Canada.
  • First consideration shall be given to a nominee who has contributed at a national level.

Selection Process

  • There shall only be one recipient in a given year
  • Should there be nominees for these awards, the Honours and Awards Committee shall review the submitted information and biographies of each nominee and determine the recipients for each award.

Award

  • Certificate & Annual Plaque

 

LIFETIME ACHIEVEMENT

Criteria

  • Nominations shall be accepted from any current CBTF member.
  • Recipients of this award are CBTF members who have exhibited dedication, devoted many volunteer hours to baton locally, provincially and nationally and have made significant contributions to the CBTF at all levels for a period of several years.
  • They have played an important role in the development of baton twirling at a national or international level.
  • They have served in significant elected positions within the WBTF, for example: WBTF President, WBTF Secretary, WBTF Technical Chair, WBTF Technical Secretary,  WBTF Judges Chair

Selection Process

  • There shall be a maximum of two (2) Lifetime Achievement recipients in a given year.
  • Should there be nominees for these awards, the Honours and Awards Committee shall review the submitted information and biographies of each nominee and determine the recipients for each award.

Award

  • Certificate & glass clock (or similar gift) inscribed with name, year and CBTF logo (approximate cost: $85-$100)

 

HONOURARY MEMBERSHIP

Criteria

  • Nominations shall be accepted from any current CBTF member.
  • Nominees shall have served the CBTF on a national level for a minimum of three years. Service to provincial bodies or as a Builder in the years prior to the inception of CBTF are also taken into consideration. Recipients of this award are no longer active in CBTF or the sport nor do they hold a current CBTF membership; however, their contributions as past members have had a long-lasting effect on the development of baton twirling as it is today in Canada and, possibly, at the international level.
  • Honorary Members shall have the privilege of speaking, but shall not be entitled to vote or hold office or otherwise conduct the business of the Federation. They shall, however, be entitled to all services extended by the Federation to active members.

Selection Process

  • There shall be a maximum of two (2) Honourary Membership recipients in a given year.
  • Should there be nominees for these awards, the Honours and Awards Committee shall review the submitted information and biographies of each nominee and determine the recipients for each award.

Award

  • Certificate & Recognition Award (approximate cost $50-$100)

 

SHARON HOLLIDAY MEMORIAL AWARD FOR SPORTSMANSHIP

Criteria

  • Nominations shall be accepted from any current CBTF member.
  • A CBTF member (parent, athlete, coach, judge, volunteer) who exhibits the true meaning of sportsmanship as displayed by their interaction with other CBTF members at baton-related events throughout the year.
  • This person need not have made their mark at the national level, however, being a good sport at the local, provincial and national level, as well as showing good sportsmanship to CBTF members outside of their club and province, shall be taken into consideration.

Selection Process

  • Should there be nominees for this award, the CBTF Executive shall review and determine the recipient for this award.

LYNDA GARLAND AWARD FOR EXCELLENCE

Criteria

  • Nominations shall be accepted from any current CBTF member.
  • Lynda Garland shall set the criteria, the nomination submission dates (posted on CBTF website) and receive the nominations.
  • This award shall be presented to a CBTF Coach who demonstrates excellence in the following areas:
    • Coaches at lessons, clinics and workshops provincially, nationally and internationally.
    • His/her club and individual athletes consistently improve, achieve personal goals and experience success.
    • Has made long term contributions to the sport of Baton Twirling such as:  assistance in the development of coaching courses, manuals & videos,  volunteer involvement provincially & nationally, supportive of all CBTF & WBTF programs
    • Seeks continual professional growth through exposure to other related disciplines (dance, theatre, gymnastics, skating, cultural activities) and baton-related events (coaching & athlete clinics/workshops, competitions, courses)
    • Presents a positive, professional image; adhering to the rules and policies of the CBTF and WBTF and following the CBTF Coaches Creed.
    • Demonstrates integrity, responsibility and dedication.
    • Demonstrates concern for the all-round development of the athlete.
    • Typifies the very essence of the meaning of Coach – an individual who teaches, mentors, guides, supports, encourages and, above all, has a positive long-term influence of the athlete he/she has coached.

Selection Process

  • Lynda shall select the recipient.

Award

  • Annual Plaque plus Lynda shall provide a special gift for the recipient

 

PROVINCE OF THE YEAR

Each year the CBTF member province that accumulates the highest amount of points based on the criteria shown below during the period June 1 through May 31 shall receive the Province of the Year award. This award shall be presented at the Canadian Winner/Championships annually.

Procedure

The CBTF 1st Vice-President shall be responsible to assist, monitor and collect completed data from various CBTF administrative personnel.  After May 31st and before the Canadian Winner/Championships, the CBTF 1st Vice-President shall prepare final results and statistics based on the information provided.

Criteria and Point Structure

National Meeting Attendance & Annual Reports

  • CBTF Secretary shall confirm the attendance of provincial representatives at national board meetings (including fall conference, CBTF AGM, conference calls, webinars, etc).
    • 10 points per meeting
  • CBTF Secretary shall confirm the receipt of written Annual Reports from all Provincial Chairpersons.
    • Written Report – 10 points
    • Verbal Report (with written submitted after the meeting) – 5 points
    • Verbal Report only – 2 points
  • CBTF Technical Chair shall confirm the attendance of provincial technical reps at national technical meetings (including conference calls, webinars, etc).
    • 10 points per meeting
  • CBTF Technical Chair shall assign points (considering the number of participants per province) to those provinces which had technical members on the annual What’s New Webinar.
    • maximum 10 points

Membership Growth

CBTF Data Entry Coordinator shall provide membership numbers to be used by the 1st Vice President to determine increases/decreases in membership in each of the following categories based upon the previous year’s numbers (measured as a % change):

  • Recreational members
  • Pre-Competitive members
  • Competitive members
  • Volunteer members
  • Technical Association members

The % increase/decrease shall be given the following points:

  • Minus 1% or less = 0 points
  • No change = 2 points
  • 1% - 50% growth = 5 points
  • 51% - 100% growth = 8 points
  • 101% or higher growth = 10 points

Technical Participation

The Technical Chair shall assign points to each province for participation and assistance in various special programs and projects during a given year.  Accuracy and completeness of information submitted within written reports shall be a consideration. Examples:  Pilot Project participation, Video-Taping on behalf of CBTF for video library, taking on a project as a province (eg: develop new score sheets, revision of a technical manual)

  • Maximum 10 points per program/project

Website Contributions

The CBTF Website Coordinator shall assign points to each province for providing articles, information (eg: competition & event dates, results) and feedback to the Coordinator throughout the year.

  • Maximum 10 points

Financial Responsibilities

The CBTF Treasurer shall assign points to each province based on prompt payment of invoices (eg: graded medals, paying for provincial participation at Fall Conference, etc).

  • Maximum 10 points

National Deadlines

The CBTF Technical Chair, Secretary, Treasurer, Membership Chair, Canadians Entry Processor, Canadian Trials/ICQ Entry Processor, CBTF President, and Data Entry Coordinator shall assign points to each province as to how well the province met required deadlines. Examples (but not limited to):

  • eVote participation – CBTF Secretary
  • Submission of Financial statements - CBTF 2nd Vice-President
  • Submission of membership forms - CBTF Membership Chair
  • Membership statistics – CBTF Data Entry Coordinator
  • Provincial Directories, competition results, athlete status advancement results - CBTF Data Entry Coordinator
  • World/ICup information & forms - CBTF President (or designate)
    • Maximum 10 points for each item

Communication

The 1st Vice President shall confirm the use of website/newsletter with each provincial head.

  • Maximum10 points – the province maintains an up-to-date website and/or distributes a provincial newsletter

Sanctioning Data

The CBTF Sanction Officer shall provide points for each province for each of the following:

Activities for Members

  • 3 points per each CBTF Technical Course
  • 3 points per each Clinic/Workshop offered to athletes, volunteers & technical community
  • 3 points per each SDP Test Day
  • 3 points per each sports promotion activity (eg: parades, recitals/shows, demonstrations)

Competition Deadlines

  • 5 points for each competition meeting the deadline 8-10 weeks prior to event date
  • 3 points for each competition meeting the deadline 4-7 weeks prior to event date
  • 1 point for each competition meeting the deadline 1-3 weeks prior to event date

Clarification:  The deadline refers to the requirement that the sanction form, brochure & sanction fee be received by the National Sanction Officer.

Competition Hosting

  • 3 points per each Open Competition
  • 4 points per each Provincial Competition
  • 5 points per each International Cup Qualifier, Canadian Team Trials and Canadian Winner/Championship

Other Points

  • 5 points for each province whose Provincial Sanction Officer maintained a record or spreadsheet which accurately recorded all the events held within that province for the period May 31st to June 1st.
  • 5 points for submitting copies of all sanctions issued to the NSO (including those only requiring PSO sanctioning).
  • Effective 2015-16 season: 5 points shall be awarded if an increase in the number of activities/events is evident.
  • Minus 5 points for any infraction to CBTF competition rules as reported to the CBTF Technical Chair

Annual World Baton Twirling Day

The CBTF President shall provide a list of those provinces that had clubs or, as a province, participated in Baton Twirling Day   

  • Maximum of 10 points per province

 

ATHLETE SCHOLARSHIP

Criteria

  • Applications to be submitted by any athlete interested in pursuing post-secondary education as a full-time student enrolled in a graduate or undergraduate (diploma or degree) program in the coming school year.
  • This scholarship recognizes academic performance, personal excellence, active full time competitive baton twirling and acceptance into a post-secondary institution.

Selection Process

  • No later than March 31st, the CBTF Athletes’ Rep shall post a notice on the CBTF website inviting athletes to apply for the CBTF Athletic Scholarship.
  • Applications must be submitted to the Athletes Rep who shall forward them to the First Vice-President no later than June 15th.
  • The Athletes’ Rep shall be included on the Honors and Awards Committee.
  • The Committee shall review all submitted applications, rank each application (first choice to last choice) and the applicant with the highest combined ranking (ie: place points) shall be the scholarship recipient.
  • The Committee may choose to hold a conference call to discuss the selection of the recipient.

ATHLETES OF THE YEAR

Criteria

  • These awards shall reward overall athletic excellence and achievement.
  • The divisions are (based on CBTF age calculation rules):
    • Junior Female: age 7 – 14
    • Junior Male: age 7 – 14
    • Senior Female: age 15 & over
    • Senior Male: age 15 & over
  • The recipient shall be the athlete with the greatest total points accumulated from the major competitions since the conclusion of the previous season’s Canadian Championship. These are: the WBTF World Championships or International Cup, the current season’s Provincial Championships, and the current season’s Canadian Championships.
  • Points from the Provincial Championships are earned from Level A Events only.
  • Points from the Canadian Championships are earned from Level A Events only.
  • Points from the WBTF International Cup are earned from Elite Level Events only, and only if the athlete met the Minimum Score Standard established by the Technical Committee, at the International Cup Qualifier.
  • Points from the WBTF World Championships are earned only if the athlete met the Minimum Score Standard established by the Technical Committee, at the Canadian Team Trials.
  • The points shall be monitored by the CBTF Data Entry Coordinator.

PAIR OF THE YEAR

Criteria

  • This award shall reward overall athletic excellence and achievement.
  • The recipient shall be the ‘duo’ (Pair or Artistic Pair) with the greatest total points accumulated from the major competitions since the conclusion of the previous season’s Canadian Championships. These are: the WBTF World Championships or International Cup, the current season’s Provincial Championships, and the current season’s Canadian Championships.
  • Points from the Provincial Championships (Pair) are earned from Level A Pair event. Exception: If the Pair event is only offered at the Provincial Team Trials, points are earned from the Provincial Team Trials competition. If the Pair event is offered at both the Provincial Team Trials and the Provincial Championships, points are earned from the Provincial Championships competition.
  • Points from the Canadian Championships (Pair) are earned from Level A Pair event only.
  • Points from the WBTF International Cup are earned from Elite Level divisions only, and only if the Artistic Pair met the Minimum Score Standard, established by the Technical Committee, at the International Cup Qualifier.
  • Points from the WBTF World Championships are earned only if the Pair met the Minimum Score Standard, established by the Technical Committee, at the Canadian Team Trials.
  • In any particular awards cycle, an athlete could be a member of more than one ‘duo’. To accumulate points from one competition to the next, the ‘duo’ members must be the same in each competition. This does not prevent a ‘duo’ from changing members, nor does it prevent an athlete from having a different partner in Pair than they do in Artistic Pair, but the new ‘duo’ does not carry over any points from the old ‘duo’. Each unique combination of ‘duo’ members accumulates its own set of points. For example:
    • Athlete 1 and 2 are Pair members at the World Championship
    • Athlete 1 competes with Athlete 3 at the next Provincial and Canadian Winner/Championship competitions
    • Athlete 2 competes with Athlete 4 at the next Provincial and Canadian Winner/Championship competitions
    • In the situation described above, there are actually 3 ‘duos’ accumulating points:
      • Athlete 1 and 2 receive points from the World Championship
      • Athlete 1 and 3 receive points from the Provincial and Canadian Winner/Championship
      • Athlete 2 and 4 receive points from the Provincial and Canadian Winner/Championship
  • The points shall be monitored by the CBTF Data Entry Coordinator.

TEAM OF THE YEAR

Criteria

  • This award shall reward overall athletic excellence and achievement.
  • The recipient shall be the ‘team’ (WBTF Freestyle Team or WBTF Artistic Group) with the greatest total points accumulated from the major competitions since the conclusion of the previous season’s Canadian Championships. These are: the WBTF World Championships or International Cup, the current season’s Provincial Championships, and the current season’s Canadian Championships.
  • A WBTF Artistic Group can earn points from:
    • The International Cup, only if the Artistic Group met the Minimum Score Standard, established by the Technical Committee, at the International Cup Qualifier.
    • The Provincial Championships.
    • The Canadian Championships.
  • A WBTF Freestyle Team can earn points from:
    • The World Championships, only if the Freestyle Team met the Minimum Score Standard, established by the Technical Committee, at the Canadian Team Trials.
    • The Provincial Championships in Level A events only. Exception: If the Freestyle Team event is only offered at the Provincial Team Trials, points are earned from the Provincial Team Trials competition. If the Freestyle Team event is offered at both the Provincial Team Trials and the Provincial Championships, points are earned from the Provincial Championships competition.
  • If a Team/Group’s membership changes from the World Championship/International Cup to the Provincial and Canadian Championships, that Team/Group’s points from the World Championships/International Cup will be combined with points from the Provincial and National championships under the following circumstances:
    • If the Team/Group has become larger in size: at least 80% of the larger Team/Group must have been members of the smaller Team/Group
    • If the Team/Group is the same in size: at least 80% of the new Team/Group must have been members of the World Championship/International Cup Team/Group
    • If the Team is smaller in size: 100% of the smaller Team/Group must have been members of the larger Team/Group
    • In all other cases, the World Championship/International Cup Team/Group will be considered a separate Team/Group from the Team/Group competing in the Provincial and Canadian Championships and their points are not combined.
  • The points shall be monitored by the CBTF Data Entry Coordinator.

OVERALL ATHLETE OF THE YEAR

Criteria

  • The recipient of the Overall Athlete of the Year award shall be selected from Junior Female, Senior Female, Junior Male and Senior Male Athletes of the Year.
  • The chosen athlete shall have the highest total number of points based on the points accumulated for the individual Athlete of the Year award.
  • The points shall be monitored by the CBTF Data Entry Coordinator.

Tie-Breaking Process

  • In the case of a tie, the athletes shall be recognized and shall share the award.

RON KOPAS MALE ATHLETE AWARD

Criteria

  • The recipient shall be a male athlete who has received the highest scores (after penalties) in the Canadian Level A Men’s Solo Championship event.

INDIVIDUAL CHALLENGE CUPS

Criteria

  • These awards shall reward greatest achievement regardless of level.
  • The divisions are (based on CBTF age calculation rules):
    • Junior – Level BN, BI, BA & A - age 7-14 (male or female)
    • Senior – Level BN, BI, BA & A - age 15+ (male or female)
  • The recipient shall be the athlete with the greatest total points accumulated from individual events in Level A, BA, BI or BN from:
    • One provincially-designated Open competition. This competition must be designated by December 31 in the competition season to the CBTF Data Entry Coordinator. If no competition is designated by that deadline, the province forfeits any Open Competition points accumulation for its athletes for that season.
    • Provincial Winner/Championships
    • Canadian Winner/Championships
  • Prior to 2020, these awards are based on points accumulated one full season behind (not for the current season) - for example, the award presented at the 2017 Canadians recognizes achievements from the 2015-16 season.
  • Beginning with the 2020-21 season, these awards are based on points accumulated in the current season - for example, the award presented at the conclusion of the 2021 Canadians recognizes achievements from the 2020-21 season.
  • The points shall be monitored by the CBTF Data Entry Coordinator.

Point Calculation Process

  • Athletes who win the Athlete of the Year award in the same season are not eligible for the Individual Challenge Cup.
  • An athlete may not receive the Individual Challenge Cup more than once in the same division.

Nationals

 

Tie-Breaking Process

  • Athletes who tie for the highest number of points shall share the award.

Award

  • Certificate and Annual Cup trophy for each recipient. Deardra Leslie, donator of this award, shall present the recipients with a floral bouquet and a small personal gift.

 

GROUP CHALLENGE CUP

Criteria

  • This award shall be presented to a CBTF-registered Baton Club accumulating the highest number of points from the Dance Twirl Team, Twirl Team, WBTF Freestyle Team and WBTF Artistic Group events at the Provincial Winner/Championship and Canadian Winner/Championship, Level A and B divisions only.
  • Group events at the Open associated with the Provincials or Nationals are not included.
  • Canadian Grand National results are not included.
  • This award is based on the current season’s group results.
  • The points shall be monitored by the CBTF Data Entry Coordinator.
  • The top ten clubs shall be announced by the CBTF Group Rep at the Canadian Winner/Championships.

ENGRAVING OF ANNUAL AWARDS

Recipients of all annual plaques & trophies shall be responsible to have them engraved with name and year.

 

TRANSPORTING ANNUAL AWARDS TO THE NEXT CANADIAN W/C LOCATION

Recipients shall be responsible for any costs associated with transporting the award to the next Canadians location and to arrange for transport. The First Vice-President shall be responsible to contact all recipients of annual awards, well in advance, to ensure they are returned in time for next year’s presentation.

 

AWARDS OF DISTINCTION

Specific persons/members with awards named after them shall be reimbursed up to $600.00 per person towards travel and accommodations to present the awards at the Canadian Championships provided they are not already there in another capacity.

Note: Reimbursements will be issued based on receipts submitted.

Retiring CBTF Executive Members – gift presentation

The cost shall be based on the member’s number of terms on the CBTF Executive Committee as follows:

  • 1 Term   - $35.00
  • 2 Terms - $50.00
  • 3 Terms - $70.00
  • 4 or more Terms - $90.00

ICQ/Canadian Team Trials & Canadian Championship Competition Directors, Host Province Coordinators and Head Tabulators – gift presentation

  • estimated cost $60.00 - 75.00

 

RECOGNITION OF WORLD, INTERNATIONAL CUP & GRAND PRIX CONTINGENT MEMBERS

World Championships

  • Athletes, coaches, judges and team manager – Certificates
  • Athletes, coaches and judges – one gift per person - eg: Royal Canadian Mint commemorative coin, charm (maximum cost $15.00 each)

International Cup and Grand Prix

  • Athletes, coaches, judges and team manager – Certificates
  • Athletes who receive a medal in B or A divisions and those who place in the top 10 of an Elite Division and Grand Prix – one gift per athlete - eg: Royal Canadian Mint commemorative coin, charm (maximum cost $5.00 each).

These awards shall be arranged for and purchased by the CBTF and then distributed or shipped to each athlete’s home province for presentation at a time & place designated by the provincial executive (eg: fall awards banquet).
