Betty Davis moved that:

  1. Provincial Team Trial and Provincial Championship Competition results be forwarded to the "Data Input Person" immediately following the competition. It is the responsibility of the Provincial Chairperson to assure that this procedure is followed.
  2. Canadian Team Trials and Canadian Championship results must also be forwarded to the "Data Entry Person" immediately.

INTENT: To provide an accurate record for determining awards and advancement. CBTF will pay the costs.

Karen Gratton moved that CBTF pay for costs incurred for bit-by-bit systems to input results from all provincial Winner/Championship events.

Elva Taylor moved that the CBTF Data Entry Person supply each province with one copy of its own Provincial Membership List by January 31st of each year at the expense of CBTF. The province must pay for any additional forms. This list shall be mailed to the Provincial Membership Chairperson.

Tina Larson moved that the CBTF create and maintain a National Tracking System to record the competition results of all individual athletes, duets and groups who compete in all Level A, B & C events and who are registered/declared members of CBTF.

2001 SBM MOTION #9 (Amended - Motion #3 - 2001 FBM)
 

Betty Davis moved that the following changes are required to the CBTF Membership Form and CBTF Membership Data Change Form.

  1. Change Type "B" to read "All Pre-Events/Recreational"
  2. Change birth certificate requirements to read "Proof of Age must accompany all Type A applications."

The following changes are required to the Membership Data Change Form:

  1. Add "Proof of Age must accompany all upgrades to Competitive Type A memberships."

All Forms become 3-part forms.

  • White Copy goes to Data Entry
  • Canary Copy goes to Provincial Membership Person
  • Pink Copy goes to Club Director or Member

Procedure

Club Director or member will complete all copies of the Membership Form or the Membership Data Change Form. These forms must be complete and legible.

  • The copy of the White and Canary form will be forwarded to the Provincial Membership Chair. These forms should be complete and legible. The Provincial Membership Chair will forward the White copy and Batch Forms A & B and the cheque to the National Membership Chair. The National Membership Chair will forward the cheque and Batch Form A to the CBTF Treasurer and the White copy of the Membership Form to the Data Entry Person.
  • The CBTF Data Entry Person will enter the data and prepare a membership list. A copy of the complete membership list for each province will be forwarded to each provincial membership chair and the National Membership Chair at the end of each month (exception: lists will only be sent out if there are additions, changes or revisions). If there are errors, the complete form will be returned to the National Membership Chair.

Karen Gratton moved that CBTF hire Sylvia Kernohan as the CBTF Data Entry Processor for a thirteen (13) month period (July 1, 2001 to July 31, 2002) at a rate of $15.00 per hour.

INTENT: To ensure a smooth transfer from bit-by-bit systems. Robin Hills will be maintained to train Sylvia between the period of July 31 - September 1, 2001. This transition fee will be jointly paid (ie: 50/50) by CBTF and OBTA for this period of time.

INTENT: This will be considered a temporary assignment while the existing program is transferred.

INTENT: A Job Description will be created which will be sent out by CBTF with an application form and request for resumes to fill the permanent position.

Karen Gratton moved that the CBTF Data Entry Processor be required to prepare the annual CBTF Executive, Board of Directors and Technical Committee Directory in consultation with the CBTF President and CBTF Technical Chair.

  Betty Davis moved that the CBTF Data Entry Person upgrade the program to provide Batch "B" Forms for each batch for each province. This change will be done if cost is within our guidelines. These forms will be sent to the National Membership Chair.

  Karen Gratton moved to approve the expenditure keeping within our guidelines, to have dashes inserted into the birthplace space in the membership data form in the computer program and that Bit-by-Bit Systems be hired to make this change.

Rita Eggett moved that a report from the CBTF Data Processing Person indicating the badge status of each athlete be issued to each club and each Provincial Chair September 1st of each year. The report should indicate the members of the applicable club as of September 1st.

DIRECTIVE: This report should be issued as soon as possible for the 2001/2002 season.

Rita Eggett moved that an Individual Group Status Listing be provided by the CBTF Data Processing Person to each club director, each Provincial Chair and each Provincial Technical Chair on September 1st of each year.

Karen Gratton moved that Sylvia Kernohan be hired as the CBTF Date Entry Processor at an hourly fee of $15.00 per hour for a one year term from August 1, 2002 - July 31, 2003 to a maximum of $4,000.

INTENT: During this time Sylvia will be required to create a job description and manual on the use of the program by April 30, 2003.

  Laura Jean moved that the Individual Group Status for those athletes who have never competed in that specific named Team/Corps Event which was declared on the Declaration Chart 2002 and submitted to CBTF Data Entry be declared null and void.

Betty Davis moved that, due to the nature of the WBTF Team event, change may occur which may affect a group's declaration. To facilitate a permanent change due to injury, illness or other extenuating circumstance, the Club Director must notify the CBTF Technical Chairperson in writing and submit an amended Declaration Form noting the reason for the change. The CBTF Technical Chairperson shall review and evaluate the request and present a recommendation to the CBTF President for acceptance.

CLARIFICATION: Accounting, computer services & website maintenance fees will remain the same but shall be researched by the Technology Commission prior to the next CBTF Board Meeting.

Karen Gratton moved that Proposal #14 of the Summer Technical Meeting be accepted as amended (with addition of Clarification):

That all competition results are to be received by the National Data Entry Coordinator within seven (7) business days of the end of the competition. A monetary fine may be assessed by the CBTF Executive.

CLARIFICATION: Results to be forwarded by the Competition Director (or designate).

Karen Gratton moved to accept the 2008-2009 Budget as prepared and presented with the following amendments:

  1. A line called "Promotional Material" to be added to the 1st Vice President's budget in the amount of $1,000.00.
  2. Under Data Input, Fees Expenses to be increased by $1,000.00 to cover needed computer program revisions (to complete transition of DOS to Windows transfer).

  Elan Paluck moved to accept Proposal 14 from the 2010 FTM as follows: That the all pre-requisites required for the CBTF judges and coaches (eg: NCCP certification, practice judging hours, etc) be sent directly to the National Judges/Coaches Rep so that the databases can be updated and, once all pre-requisites are satisfied, certification be verified with a letter from the National Rep with a copy to the Provincial Rep. The National Rep will advise the CBTF Data Coordinator to issue a Certificate to the new coach/judge for the level/module completed.

Elan Paluck moved move to accept the following procedure with regards to the hosting of provincial qualifying events for athletes from member provinces and athletes from non-member provinces:

  • A member province's chair or coach representing a non-CBTF member province's direct members to contact the chair of a CBTF member province requesting that a provincials qualifying event for their province be held in conjunction with the member province's provincials. This must be done well in advance of the proposed date.
  • Once discussed and approved by the CBTF member province's board, the provincial chair shall send a request in writing to the CBTF president asking for CBTF approval to act as host for the small province/ non-member province. The CBTF Sanction Officer shall be notified by the host province when approval is granted.
  • The hosting province shall submit two sanction request forms to their provincial sanction officer - one for each province. The PSO shall then forward them to the National Sanction Officer who will assign a national sanction number for the event.
  • One entry brochure shall be produced by the host province featuring a separate listing for each province's provincial qualifying individual, duet, group and team trials events. One person shall handle the entry processing for both provinces. Handling of financial and administrative issues shall be discussed and agreed upon by the two provinces. An open competition with individual, duet and group events may be held and athletes from both provinces may enter.
  • The host province shall report the results of both provincial qualifying events to the CBTF data entry coordinator.
  • Each province shall be responsible to send in their own members' entry forms to the Canadian entry processor. Direct members from a non-CBTF member province shall be responsible to submit their own entries. Canadian entry deadline policy shall apply.

2014 FBM MOTION #20
 

Elan moved that 2014 FTM Proposal #11 be accepted:

That receiving a minimum Total Combined Score (compulsories + freestyle) of 25.000 in a final round at a Provincial Level B Freestyle Winner Event shall qualify an athlete for the Canadian Level B Freestyle Winner Event.
