  1. Indicate on their provincial membership forms that they wish to belong to the Judges Assoc. and include their Assoc. annual fee, along with their Type 05 (Judges) or Type 06 (Adjudicator) CBTF registration fee.
  2. Provincial Membership Chair then submits a Master List of the Judge and Badge Adjudicators who have paid their Judges Assoc. fee to the CBTF Judges Rep with a copy to the CBTF Treasurer. Fees are sent directly to the CBTF Treasurer along with other CBTF membership fees.
  3. CBTF Judges Rep. then issues Information Update forms, as necessary, for national Judges Assoc. records to the judges/ adjudicators who have registered.

  • Copy #2 & original and CBTF Fees are sent to the National Membership Chair who retains the original and the CBTF Fee
  • Copy #2 is sent to the CBTF data entry person who enters the information and produces provincial membership lists
  • The National Membership Chair issues cards to Provincial Membership Chairs to distribute to members

2. Numbering System

  • Provinces will be indicated by their provincial abbreviations (BC, AB, SK, MB, ON, NB) instead of numbers.
  • Membership types will be indicated by letters (A,B,C,D,E) instead of numbers.

3. Cards

  • Membership cards will be designed on computer with the membership Chairperson's signature scanned onto each card. The cards will be the same as the current ones and will include all pertinent information, advertisers and the Athletes Creed. Cards will be sent to the Provincial Membership Chairs.

Elva Taylor moved that the CBTF Data Entry Person supply each province with one copy of its own Provincial Membership List by January 31st of each year at the expense of CBTF. The provinces must pay for any additional forms. This list shall be mailed to the Provincial Membership Chairperson.

Betty Davis moved that Membership Forms and Fees from individual provinces must be received by the CBTF Membership Chairperson by December 1st of each year. Forms and Fees received after December 1st and before March 31st will be charged double the CBTF Fee. Forms and Fees received after March 31st will be charged triple the CBTF Fee.

CLARIFICATION: New members may join at any time with no Late Fee assessment.

INTENT: Memberships are valid until December 31st of each year however the 30-day "overlap" is required for processing of the forms and payments. Late fees apply to anyone who held a membership in the previous year. Exceptions are Recreational and Volunteer memberships. It is the responsibility of the Provincial Membership Chairperson to ensure that these forms and fees are received on time.

Betty Davis moved that each province be required to use the Standard (generic) CBTF Membership Form, Membership Data Change Form, Batch A and Batch B Forms.

Effective Immediately

INTENT: Provinces may add items as required within their province, however, all the standard information must be provided and should be kept in the same location on the forms. Batch B Form can be a computer print-out as long as all the required information is provided and in the same order as on the form.

Betty Davis moved that the following changes are required to the CBTF Membership Form and CBTF Membership Data Change Form:

  1. Change Type "B" to read "all Pre-Events/Recreational".
  2. Change Birth Certificate requirements to read "Proof of Age must accompany all Type A applications."

The following changes are required to the Membership Data Change Form:

  1. Add "Proof of Age must accompany all upgrades to Competitive Type A membership".

All forms will become 3-part forms.

  • White copy goes to Data Entry
  • Canary copy goes to Provincial Membership Person
  • Pink copy goes to Club Director or Member

Procedure

Club Director or member will complete all copies of the Membership Form or Membership Data Change Form. These forms must be complete and legible.

  • The copy of the White and Canary form will be forwarded to the Provincial Membership Chair. These forms should be complete and legible. The Prov Membership Chair will forward the white copy and Batch Form A & B and the cheque to the National Membership Chair. The National Chair will forward the cheque and Batch Form A to the CBTF Treasurer and the white copy of the membership form to the Data Entry Person.
  • The CBTF Data Entry Person will enter the data and prepare a membership list. A copy of the complete membership list for each province will be forwarded to the Prov Membership Chair and the National Membership Chair at the end of each month (exception: lists will only be sent out if there are additions, changes or revisions). If there are errors, the complete form will be returned to the National Membership Chair.
  • NOTE: Old lists should be destroyed as new ones are received.

Karen Gratton moved that CBTF allow participation in the White Ribbon Program without the requirement of buying a CBTF membership providing that the coach is a CBTF registered coach and the lessons/events are sanctioned.

INTENT: Should an athlete want to continue on in Baton Twirling (eg: Yellow Badge, etc.) he/she will be required to become a CBTF member.

Karen Gratton moved that Federation Quebecoise Baton Sportif (FQBS) be accepted as a Full Member province within the CBTF.

  Gail Ashcroft moved that, commencing with the 2011-2012 competition season, there be a comprehensive Waiver included in membership as approved by our insurer.

  Michelle Bretherick moved that the 2011/2012 Membership Fees remain the same as 2010/2011.

  Joanne Moser moved that, beginning the 2012-2013 competition season, the Comprehensive Waiver and Media Consent form be incorporated into membership documents and the CBTF membership database.

 

2011 FBM MOTION #34
  Beth Jamieson moved that CBTF authorize the use of funds in the CBTF Reserve for the update to the CBTF Membership Process up to an amount of $3,000.

  Janice Larkin moved that Membership Fees (and Late Fees) be left as is for the 2012-2013 season.

 

2014 AGM MOTION #1
 

Jeff moved to accept the Province of Nova Scotia as a Full Member Province of the Canadian Baton Twirling Federation as of September 7, 2014 with the following provisions and rights:

  1. That Nova Scotia’s Non-Profit Society Status Certificate has been received and a copy to be forwarded to the CBTF President.
  2. The Nova Scotia Chairperson and Technical Chairperson may attend all CBTF meetings with full speaking and voting privileges.
  3. Nova Scotia’s registered athletes may participate in all CBTF sanctioned competitions and events.
  4. Nova Scotia’s registered athletes may represent their province at CBTF national competitions.
  5. Nova Scotia shall have its own provincial membership form and fees commencing in the 2015-16 season and members shall continue to have insurance coverage through CBTF Direct Membership.
